Set up in this order
- Device Modes — a mode is a saved collection of settings, restrictions and add-ons you can reuse across devices and locations. Set one up so every POS in a location shares the same config (for example, tipping enabled everywhere).
- Device Codes — an authentication option instead of email and password. Pairs each device to a specific location for device-level reporting, and lets staff sign in without sharing the owner's password. Managed from the Square Dashboard.
- Printer Profiles — a saved collection of printer settings assigned to a device, so a connected printer behaves consistently (for example, auto-printing receipts).

Printer profile best practices
Where most installs go wrong. Worth reading before go-live.
- One job per profile. Receipts only, or In-Person Tickets only. Never both.
- Consistent naming. Use a format like "Kitchen – In-Person" or "Bar – Online."
- Assign locally. Link printers to profiles on each device, not from the Dashboard.
- In-Person profiles get assigned across all POS devices. Online/Kiosk profiles go to one device only.
- Route by category, not item. An item in multiple categories prints to multiple stations, so keep categories mutually exclusive or document the overlaps.
- Assign from Settings → Hardware → Printers → Profiles.
- Test changes off-peak. An edit affects every linked device.
- Duplicate copies means duplicate profiles — same settings, same printer.
Pre-go-live QA: one job per profile · receipts assigned everywhere needed · Online/Kiosk limited to one device · categories mapped correctly · print tests confirm expected results.
Troubleshooting: POS devices
- Update everything before sign-in. iPad on Square Stand goes to the latest iPadOS; Handheld, Terminal and Register get firmware updates first. This resolves most connection and accessory issues before they start.
- "Stand disconnected" — when USB accessories fail, check More → Settings → Hardware → Square Stand. If it reads "No Square Stand connected" or "No USB hub connected": remove the iPad and reseat it firmly, unplug and replug all Stand power cords, then force quit the Square app or restart the iPad.
- A disconnected Stand or USB hub means printers, scanners and cash drawers will not respond. Check this before chasing the peripheral itself.
- Register, Terminal, Handheld — if stuck updating or frozen, restart first. If restarting does not fix it and everything else is configured correctly, a factory reset is usually needed.
- A factory reset wipes the device but not the seller's account. You will need to sign back in. Never factory reset a device with pending offline transactions.
Troubleshooting: networks & printers
- All POS devices and Ethernet printers must share the same Wi-Fi/VLAN. On different networks they cannot communicate.
- Spotting a mismatch: print the printer's self-test page to get its IP, then compare it to the POS network range (for example 192.168.1.xxx).
- Moving off a managed network (Toast, SpotOn, Revel and similar) — those networks get deactivated when the seller leaves the provider. Move the printers' Ethernet cables off the old provider's switch or router and onto whatever network the seller is keeping.
